POLICIES

No Refund | Payments

All payments are non-refundable, non-deferable, and non-transferable, except as specifically provided under the Event Postponement / Rescheduling Policy below. There are no exceptions for cancellations due to college commitments, personal matters, injuries, illnesses, medical conditions, medical treatments, or any other personal circumstances.

By registering for a PrimeTime event, the participant acknowledges and agrees to this policy before submitting payment.

PARTICIPANT CANCELLATION

This policy applies when a registered participant, parent or legal guardian chooses to cancel a player’s registration for a PrimeTime event.

Cancelling a registration does not entitle the participant to a refund.

All payments remain non-refundable unless a refund is expressly provided under the Event Cancellation or Event Postponement / Rescheduling Policies.

A participant’s decision not to attend an event does not constitute an event cancellation by PrimeTime and does not create a right to a refund. This includes cancellations due to personal circumstances, schedule conflicts, college commitments, travel issues, injuries, illnesses, medical conditions, medical treatments, or any other reason that prevents the participant from attending.

Participants who are unable to attend may be eligible for a credit toward a future PrimeTime event, subject to the deadlines, conditions and processing fee outlined in the Credit Policy below. Credit is not guaranteed and is not the same as a refund.

All cancellation requests must be submitted in writing by email before the applicable deadline. The request must include the player’s full name and the reason for cancellation. Phone calls and text messages are not accepted as official cancellation or credit requests.

Submitting a cancellation request does not automatically qualify a participant for a credit. Credit eligibility will be determined according to the Credit Policy in effect for the registered event.

Credit

Participants who are unable to attend a registered event may be eligible for a credit toward a future PrimeTime event, provided the cancellation request is submitted within the applicable time period.

30 DAYS OR MORE BEFORE THE EVENT
Participants who cancel 30 or more days before the scheduled event may receive a credit equal to the registration amount paid, less a $34.95 processing fee.

15–29 DAYS BEFORE THE EVENT
Participants who cancel between 15 and 29 days before the scheduled event may receive a credit equal to 50% of the registration amount paid, less a $34.95 processing fee.

LESS THAN 14 DAYS BEFORE THE EVENT
Cancellations submitted less than 14 days before the scheduled event are not eligible for a credit.

All credit requests must be submitted by email before the applicable deadline. Credits are not transferable and may only be applied toward a future PrimeTime event, subject to availability and any applicable registration requirements.

EVENT CANCELLATION

This policy applies when PrimeTime cancels an event and does not establish a make-up or replacement date.

An event cancellation initiated by PrimeTime is different from a participant cancelling an individual registration. Participant-initiated cancellations are governed by the Participant Cancellation and Credit Policies above.

If PrimeTime determines that an event must be cancelled and is unable to establish a reasonable make-up or replacement date, participants will be eligible for a refund of the registration fee.

Any refund under this section applies only to an event cancelled by PrimeTime. Additional products or services purchased separately from the registration fee may be subject to their own terms and conditions.

PrimeTime will communicate an event cancellation through the contact information provided during registration. Participants are responsible for monitoring their email and other official PrimeTime communications for event updates.

Event Postponement / Rescheduling

This policy applies when PrimeTime postpones or reschedules an event rather than cancelling the event outright.

PrimeTime Showcase & Camps reserves the right to postpone or reschedule an event when circumstances beyond its reasonable control make it necessary or impractical to conduct the event as originally scheduled. This may include severe weather, unsafe field or facility conditions, facility availability, or other circumstances that may significantly affect the event.

If an event is postponed or rescheduled, PrimeTime will make every reasonable effort to establish a new event date and will communicate the new date to registered participants as soon as possible.

When a new date is established, a participant’s registration will automatically be transferred to the rescheduled event.

Participants who are unable to attend the rescheduled date may request a credit toward a future PrimeTime event, subject to the applicable Credit Policy.

If PrimeTime is unable to establish a reasonable make-up date and the event is ultimately cancelled, the Event Cancellation Policy will apply.

Weather

PrimeTime Showcase & Camps events are subject to weather and field conditions. The safety of players, coaches, staff and spectators is always our highest priority.

Weather conditions may require PrimeTime to modify game times, workout schedules, field assignments, activities or other portions of the event. When possible, PrimeTime will make reasonable efforts to adjust the schedule or utilize available indoor facilities in order to continue the event.

If weather or field conditions prevent the event from being completed as originally scheduled, PrimeTime may shorten, modify or suspend activities based on the conditions and the amount of event time remaining.

There will be no automatic refunds or credits based solely on weather-related delays, shortened schedules, modified activities or the amount of the event completed.

If an event has already begun and at least one full day of scheduled activities has been completed, no refund will be issued for any remaining activities that cannot be completed due to weather, field conditions or other circumstances beyond PrimeTime’s reasonable control.

PrimeTime may, at its sole discretion, offer a partial credit toward a future event as a courtesy. Any such credit is not guaranteed and does not establish an obligation to provide a credit in future circumstances.

If PrimeTime determines that the event cannot continue safely and a make-up date is established, the Event Postponement / Rescheduling Policy will apply.

If PrimeTime is unable to establish a make-up date and the event is ultimately cancelled, the Event Cancellation Policy will apply.

All weather-related decisions are made at the discretion of PrimeTime Showcase & Camps in consideration of player, coach, staff and spectator safety, facility conditions and information available at the time.

Schedule

PrimeTime reserves the right to modify event schedules, game times, field assignments, activities and other event details when necessary due to weather, field conditions, facility availability, operational considerations or other circumstances beyond our reasonable control.

Every effort will be made to provide participants with advance notice of significant schedule changes whenever possible.

Participation in an event does not guarantee a specific game time, field assignment, position, matchup or individual playing opportunity unless specifically stated in the event description.

Code of Conduct

PrimeTime expects all players, parents, coaches, spectators and staff to conduct themselves in a respectful and sportsmanlike manner throughout our events.

Harassment, threats, abusive language, inappropriate behavior, discrimination, fighting, intentional damage to property or conduct that creates an unsafe, disruptive or hostile environment will not be tolerated.

Players are expected to follow the instructions of PrimeTime staff, event personnel, umpires and facility representatives. Parents and spectators are expected to support players and coaches in a positive and respectful manner.

Anyone who violates these policies or creates an unsafe or hostile environment may be required to leave the event.

PrimeTime reserves the right to remove individuals from the facility and, when appropriate, prohibit future participation without refund or credit.

POLICY ACKNOWLEDGMENT

By registering for a PrimeTime Showcase or Camp, participants and their parents or legal guardians acknowledge that they have read, understood and agreed to the policies outlined on this page.

PrimeTime reserves the right to update these policies when necessary. Participants are responsible for reviewing the current policies applicable to their event before completing registration.
